Q. What is the difference between a ‘space-only booth’ and a ‘shell-scheme booth’?

A ‘Space-Only Booth’ consists of only the designated floor space of the exhibition hall. A ‘shell-scheme booth’ set includes both booth material and booth construction provided by the organizer. Also included in a ‘shell- scheme booth’, is a three-sided divider, three spotlights (100 W), two fluorescent lamps (40 W), your company name signboard, an information desk and chair set, and a fiber-textile floor cover. Please refer to Section 2 of the brochure for more information.

Q. What else should exhibitors prepare besides booth spaces and stands?

We strongly recommended that exhibitors pre-train their booth staff well. The salesperson or company agent should be able to present and explain his or her own exhibits in depth to interested visitors. The employee should be trained in terms of knowledge, suitable attire, attitude, and bargaining points specific to the exhibition. Exhibitors should also prepare attractive display stands and other informative/decorative interior materials for the booth, catalogs of exhibit items, and business cards. Exhibitors may also hire recommended lease companies for further tables and display stands. In case that a Shell-Scheme Booth becomes damaged through the use of nails or other construction tools, the exhibitor is liable for compensation to Coffee Expo.

Q. May exhibitors themselves hire their own contractors to construct their exhibit after purchasing a‘space-only booth’?

No. For safety reasons, only CONEX subcontractors may construct booths for Coffee Expo . No outside construction subcontractors may be hired by individual exhibitors. For a full list of CONEX Service Contractors please refer to Section 3.

Q. What is the procedure for removing exhibits and items from the exhibition hall during the show?

To help prevent theft and loss during the Coffee Expo exhibition period, exhibit items cannot be removed from the exhibition hall before the official take-down period without authorization from the show secretariat. To remove exhibit items before the official take-down period, please do the following:

1. Make a list of the items you wish you remove early from the show

2. Submit the item list together with an exhibit move-out application form (available from the secretariat)

3. Receive authorization from the Coffee Expo 2014 Secretariat

4. Show authorized form to security staff 5. Remove exhibition items from the hall.

Q. What steps should exhibitors take to prevent theft or loss of exhibit items?

Coffee & Chocolate Expo 2014 Secretariat will provide full security services during the exhibition set-up, exhibition period, and dismantling periods. It is advised, however, that exhibitors take extra precautions regarding their own booths and exhibits at times when there may be large crowds in the exhibition hall. Exhibitors are liable for damage or loss of their exhibits during the set-up, show and dismantling periods and should be insured for unexpected accidents, particularly for items such as cameras, laptops, and small-sized exhibit items. Coex will not be responsible for any lost, stolen, or damaged items.

Q. Can exhibitors include their logo and trademark on the ‘shell-scheme booth’ company name signboard?

Exhibitors must contact the Secretariat to find out whether including a company logo on the booth signboard is possible. If possible, the exhibitor must notify their designated booth construction contractor of the changes to be made. An additional fee will be charged.

Q. Can one side of the ‘shell-scheme booth’ partition be closed or removed?

Exhibitors must contact booth construction and set-up companies to confirm whether booth partition removal or closing is allowed. For specific payment inquiries and detailed information, please contact the Coffee Expo General Service Contractors.

Q. When will electricity be supplied to exhibitor’s booths?

Electricity will be available from 4 p.m. the day before the exhibition opens until show closing. Electricity will only be switched on, however, when all exhibitors have completed the installation of their electrical items. Exhibitors are therefore asked to cooperate fully with the electrical contractor to ensure that all electrical work is installed as soon as possible in order to avoid damage or delay to other exhibitors or to the show.

Q. When exhibitor’s booths be connected to the internet?

Exhibitors who apply for a high-speed LAN line in advance will be given order priority for Internet service installation. Exhibitors must place their laptops and desks near the internet installation point, as LAN lines are not portable. LAN installation takes approximately 5 minutes. Exhibitors will be notified of their IP addresses during the installation. Coex also offers free wi-fi to all visitors.

Q. Can an overseas exhibitor request visa application support?

Exhibiting companies in need of a Korean visa can request an official invitation letter from the show Secretariat
for their visa application process. Show organizers are not involved with or responsible for the actual visa issuing process. It is recommended that overseas exhibitors use a travel agency in their home country in order to ensure a smooth visa application proces
